RecCapture
RecCapture, "Painless Electronic
Document Management (EDM) Software"...
RecCapture is Electronic Document Management (EDM) without any of the
headaches, pain, difficulties, high IT involvement and huge expense of
traditional EDM systems.
RecCapture automatically captures, analyzes, indexes and versions every
electronic document your staff create and receive (including emails)
without involving additional work for the majority of your staff.
RecCapture includes both a sophisticated security system and a
'thin-client' search and inquiry tool that doesn't need to be installed on
the desktop (the IT staff are already cheering) and one that provides
instant secure access to any stored document. It is also a system where no
one has the ability to delete or modify key documents.
RecCapture consists of 5 fully integrated and
proven components:
- The back-end database engine is a special
version of our our enterprise EDM solution called RecFind-Corporate.
- The RecFind File Capture Filter
continually scans all directories and sub directories you specify it
to capture, index and store all new and changes electronic documents.
- The Rules Module works with the File
Capture Filter to decide what to do with each and every electronic
document you capture.
- The Button that we insert into the toolbar of
Word, Excel, Outlook and WordPerfect and GroupWise and Notes is called
the RecFind-Button.
- The web based 'thin-client' search and inquiry
tool is called RecQuery-TC.
We have repackaged these robust, feature rich,
scalable and proven products into a new solution we call RecCapture.

- Existing Customers...
- The good news for existing customers is that
RecCapture plugs directly into RecFind-Corporate 5.0.0B and uses
RecQuery-TC 5.0.0B as its client. Existing customers already 'own' 95%
of this application (because all the required RecCapture code was built
into 5.0.0B before release) so all you have to do is add one new
component, the new RecCapture Rules module.

- As RecCapture is installed at the server,
it means that is a desktop maintenance-free solution for all IT
Managers. Save thousands

- Rules Module
- Because electronic documents are essentially
unstructured (as opposed to emails which are highly structured) the
RecCapture Rules module is a very different animal to the GEM Rules
module. It plugs into the current 5.0.0B RecFind File Filter and
significantly extends its functionality. Not only does it allow you to
interrogate electronic documents on every attribute, it also allows you
to imbed strings (delimited by control characters) or values (e.g., a
file folder number or a document profile number or an employee number)
in electronic documents and then match on them. It of course also allows
you to intelligently examine all or any of the text of the electronic
document (e.g. look for "Employment Contract" in the first 200
characters of the document).

- The RecFind File Capture Filter continually
scans all directories and sub directories you specify it to capture,
index and store all new and changes electronic documents.

- Thin
Client Search Tool
- The web based 'thin-client' search and inquiry
tool in RecCapture is called RecQuery-TC.
RecQuery-TC is a totally thin-client (browser resident) inquiry product
used to access the RecFind-Corporate relational database over a LAN, WAN
or the Internet, Intranet or Extranet.

- Because it runs within a browser (Microsoft
Internet Explorer or Netscape) RecQuery-TC provides instant, secure
access to your corporate data from anywhere in the world. Never be
without those important papers again.

- Search, display, print and copy (Save As) all
objects within the RecFind-Corporate database including Metadata, paper
records, electronic documents, images and WorkFlow records.
- Database
Engine
- The back-end database engine is a special
version of our our enterprise EDM solution called RecFind-Corporate. RecFind-Corporate stores and indexes electronic documents
of any type. There are also no limits on the number of documents that
can be stored (other than hardware limits). It also includes the
functionality for automatic versioning, retention, archiving, security
and workflow (yes, is also includes a fully integrated workflow engine
should you need it) plus standard and ad hoc reporting. You can of
course, also archive off 'old' electronic documents to second level
storage when the file server starts to complain.

- Electronic
Document Capture
- The Button that we insert into the toolbar of
Word, Excel, Outlook and WordPerfect and GroupWise and Notes is called
the RecFind-Button. The Button allows the
user to save a new electronic document into RecFind-Corporate with a few
more mouse clicks. Ideally, the employee saves just the first version;
all future version will be automatically captured and indexed by the
File Filter. However, the system works even if the employee forgets to
save the first version because if you haven't told RecCapture how to
classify, index and save a document the Rules Module will do it for you.
The employee can also use the Button to Check-out existing versions if
required.

- Server Requirements
- Intel Server with Win 2000 or Win 2003 Server
installed and a copy of either MS-SQL or Oracle Server.

- To use RecFind, you need the following:
- IBM compatible, personal computer with a
Pentium or higher processor (or equivalent (i.e. Celeron, AMD, etc)
- A hard disk or file server with at least 200MB
of free space
- A mouse
- A VGA compatible or better display (800 x 600
resolution)
- A sound card and speakers (optional, required
for sound functionality)
- 64MB of RAM minimum (128MB recommended) Note:
Depending on operating system, additional RAM may be required. For
example, if using Windows 2000 128MB RAM is required as a minimum
